How do workers clock in and out?

Workers use the mobile app to clock in when arriving at a site. They can take photos, add a note, and their GPS location is recorded. Clock out works the same way when leaving. If there is no connection on site, the punch is stored on the phone and synced automatically later; nothing is lost or duplicated.

How do I view time entries for a project?

Go to the project's Time Entries section to see all entries. You can filter by date, worker, or activity. The summary shows total hours per worker and activity. The global Time Entries page shows the same across all projects.

How do I edit or correct a time entry?

Click on a time entry to open it. Managers can edit the start/end times, notes, and activity assignment. Changes are logged for audit purposes, and a worker's own note can no longer be edited once the entry has been validated.

How does GPS verification and the geofence work?

Set the project's site coordinates (or use Find coordinates from address), then enable GPS requirements in Team Settings > Time Tracking. Clock-ins are compared against the site within a configurable radius (500 meters by default). You can register additional locations such as a warehouse; the nearest recognized site wins. A GPS fix that is too imprecise is ignored rather than flagging the worker as off-site, so poor phone reception does not create false alarms.

What are time entry anomalies and how are they detected?

Anomalies include missing clock-outs, excessively long shifts, very short shifts, late starts, overlapping entries, or GPS locations outside the site radius. They are flagged automatically on the entry and surfaced to managers for review.

How do validation and anomaly review work?

Each entry carries two independent sign-offs. Validation is a supervisor confirming the hours are correct; anomaly review is signing off the automatic flags, with optional notes. Both are done from the Time Entries pages by admins, managers, or foremen, and nobody can validate their own entries. Validated entries are protected from further edits to the worker's note.

Can workers clock in for multiple projects in one day?

Yes, workers can clock in and out of different projects throughout the day. Each time entry is associated with a specific project and activity for accurate tracking.

What happens if someone forgets to clock out?

Three safety nets exist: an automatic process closes forgotten entries after a configurable tolerance, locking the day's site diary clocks out anyone still active, and a foreman or manager can close another worker's open entry directly, setting the correct end time. Forgotten clock-outs are also flagged as anomalies for review.

Can a foreman clock in a whole crew at once?

Yes, from the Team tab of the mobile app a foreman can select several workers and clock them all in or out together. The list warns about workers who are on approved leave or who already completed a shift that day, so nobody is punched in by mistake.

How do I export time tracking data?

Go to Time Entries and click the Export button. You can export to Excel or CSV with filters for date range, project, and worker. Exported files include all details like GPS coordinates and photos.

What is the Site Presence Register?

The Site presence page in the project sidebar keeps the official register of who is allowed on site and who is physically there right now. It holds the roster of cleared workers (your own staff and subcontractor crews), their safety documents, and an immutable log of every check-in and check-out at the gate.

How do I add workers to the site roster?

From the Site presence page, add your own team members or workers belonging to a subcontractor company. Each worker gets a badge code for QR check-in and a list of required documents. Workers can be pending, approved, or blocked.

How does document compliance work for site workers?

Each rostered worker must hold the required documents: safety training, medical fitness, and an ID card. The status of every document (valid, expiring, expired, or missing) is read live from the underlying file and its expiry date, so the traffic light you see is always current. Expiring documents also raise alerts in advance.

How can a subcontractor register their own crew?

Use Generate subcontractor link on the Site presence page. This creates a public link (valid 30 days) that you send to the subcontractor. They open it on any device, without a login, and register their workers and upload each worker's documents themselves. The crew appears in your roster ready for review.

How do check-ins at the gate work?

The person at the gate uses the mobile app's presence screen: it shows who is currently on site, lets them search the roster or scan a worker's QR badge code, and check people in and out with one tap. Visitors (name, company, reason, ID document) can be registered too. Gate check-ins require a connection so the register is always trustworthy.

What happens if a non-compliant worker needs to enter?

Checking in a worker with expired or missing documents requires an explicit override confirmation. The entry is recorded as non-compliant in the register, and an alert is raised so the office knows an unauthorized worker was admitted. The register never hides what actually happened.

What is the substitute foreman (preposto)?

You can designate a rostered worker as the substitute foreman for the site with the Designate as substitute foreman action. This role expects the supervisor training certificate as an additional document, and the designation is shown in the presence register and its reports.

Can I get a report of site presences?

Yes, use Download report on the Site presence page to get a PDF of the register. The report includes a per-worker dossier with each person's documents and their status, which is what an inspector will ask for during a site visit.

Mobile App & Offline Mode 7
What is the Tabiquo mobile app?

Tabiquo has a native mobile app for iPhone and Android, available on the Apple App Store and Google Play Store. It is the on-site companion to the admin panel: time tracking, tasks, site documentation, incidents, floor plans, materials, chat, and more. The app is available in Spanish and Italian, following each user's account language.

Who uses the mobile app and what do they see?

Everyone gets a home screen tailored to their role. Workers see their clock card, tasks, and documents. Foremen additionally manage their crew, site presence, and daily reports. Managers see the full project toolset. Clients get a simplified view of their project. The home screen sections can be reordered and hidden to taste.

How do I install the Tabiquo mobile app?
  1. Open the Apple App Store (iPhone/iPad) or Google Play Store (Android).
  2. Search for "Tabiquo" and tap Install.
  3. Log in with your existing credentials or use an invitation link to set up your account.
Does the mobile app work offline?

The essentials keep working without coverage: clock-ins and clock-outs are stored on the phone and synced when the connection returns, without duplicates, and task completions queue the same way. Previously loaded data stays readable. A banner and a sync indicator show what is still waiting to upload. Gate check-ins on the site presence screen are the exception: they require a connection so the register stays trustworthy.

Can clients use the mobile app?

Yes, clients download the same app and see a simplified view of their project: progress and planning, published site diary entries, shared documents and photos, the materials list, estimates and extras to review and sign, chat with the team, and issue reporting. Clients receive push notifications for important updates.

How do uploads from the app work?

Photos, videos, and documents upload in the background with a floating progress indicator showing compression and upload state per file. Uploads survive closing the app and resume on their own, so a slow connection on site never blocks the work.

Why does the app ask me to update?

When your installed version is older than the minimum supported one, the app asks you to update before continuing. This keeps everyone on a version that works correctly with the server. Update from the App Store or Google Play and continue where you left off.

Problems & data

Troubleshooting & Common Issues 10
What should I do if I can't clock in due to GPS errors?

Check that location services are enabled for the app. A weak or imprecise GPS fix is tolerated: Tabiquo warns you it is the phone's signal, not your location, and never blocks the punch for that. If clock-ins are consistently flagged as off-site, ask your manager to check the project's site coordinates and the allowed radius in Team Settings > Time Tracking.

Why can't I see certain documents or sections?

This is usually a permissions issue. Your project role determines what you can access, document categories have visibility switches for workers and clients, and some sections are modules that may not be enabled for your team. Contact your team administrator to adjust your role or permissions.

What if I forget to clock out?

The system detects missing clock-outs and generates an alert. An automatic process closes forgotten entries after a tolerance period, and your foreman or manager can close your entry with the correct end time. This is logged for audit purposes.

How do I fix an incorrectly entered time entry?

Managers can edit any time entry by clicking on it and updating the times, project, or activity. All changes are logged with who made them and when for a complete audit trail. Entries that have already been validated should be corrected by the supervisor who validates them.

What happens if I upload the wrong file?

You can delete the file and upload the correct one. If the file should be replaced while keeping its history, use the Upload new version action on the file instead: the new version becomes current and the old one stays archived.

Why didn't I receive a notification email?

Check your email spam/junk folder. Verify your email address is correct in your profile settings. Check notification preferences to ensure emails are enabled for the alert type. Contact support if issues persist.

What if a supplier upload link doesn't work?

Links expire after 30 days. Regenerate a new link from the Purchase Order or Commitment page and share the new URL. Ensure the supplier is using the complete link without truncation.

I can't log in because of two-factor authentication. What do I do?
  1. Use one of the recovery codes you saved when enabling two-factor authentication; each works once in place of an authenticator code.
  2. Once in, set up your authenticator again from your Profile.
  3. If you have no recovery codes left, contact your team administrator or support.
The mobile app says it needs an update. Why?

Your installed version is older than the minimum supported version. Update the app from the App Store or Google Play; your data is safe and you continue where you left off. Keeping the app updated ensures it works correctly with the server.

How do I recover deleted data?

Deleted items in Tabiquo do not go to a bin you can open yourself: there is no restore button in the panel. Write to us as soon as possible from the contact block saying what was deleted, in which project and when; in many cases we can recover it from the server. The sooner you tell us, the more likely the recovery.

Data Management & Exports 4
What data can I export from Tabiquo?

You can export time entries, work reports, purchase orders, finance documents, planning schedules, and project data to Excel or CSV formats. Each export includes all relevant details and attachments.

How do I export project data for external use?

Navigate to the section you want to export (Time Entries, Work Reports, etc.) and click the Export button. Select your format, apply filters, and download the file for use in Excel or other tools.

Are my exports saved for later access?

Exports are generated on-demand and downloaded immediately. For large exports, the system may process them in the background and send a download link via email when ready.

How long is my data retained, and can I get a copy of my personal data?

Active project data is retained indefinitely. Deleted data is kept in soft-delete for 30 days before permanent removal. Every user can request a complete export of their personal data (GDPR): the export covers all data groups linked to the account and is delivered as an emailed download link valid for 7 days. Contact support to request it.

Site supervision 5
I am the site supervisor and the contractor does not use Tabiquo: does it still work?

Yes, that is the case it is built for. The workspace belongs to the practice: you open the site, keep minutes, diary and certificates, and the contractor only receives a signing link (or a QR code on site) to sign from their phone, with no account. If you want them to comment on defects you can give them a guest access; they install and pay nothing.

How do I write the visit minutes from my phone?

In the app open Site visits, create the visit, dictate notes with the microphone, photograph room by room and tick the checklist. When you complete the visit, Generate minutes assembles attendees, results and defects; you lock, sign and send the signing links to the attendees. The PDF is sealed with its fingerprint.

Where do I write service orders and instructions?

In the Site diary, Site supervision tab (panel) or its section in the app: service orders, instructions, supervisor and safety-coordinator visits. Each entry is numbered in sequence per site and appears in the day's PDF; a closed day is sealed and cannot be edited.

How do I approve and sign a payment certificate?

The office prepares the certificate from the executed quantities and submits it; only a site-supervision role (or an admin) can approve it. On approval the certificate locks and seals; then you sign it as supervisor and ask the contractor and the client to sign with Request signatures: they receive a link, no account needed.

Who pays: the practice or the contractor?

The practice, which owns the workspace and the file. The contractor and the client pay nothing: they sign from a link and the client uses the included app. A practice with no workers is fine: clock-ins stay off and you pay for open sites; the archive stays free.

How do I create and manage inspections?
  1. Go to Inspections and click New Inspection.
  2. Select the type (quality, safety, delivery, site visit, and more) and add the checklist items.
  3. Conduct the inspection, marking each item as pass, fail, or N/A with photos and notes.

A site visit can also generate a formal minute (verbale) automatically from its results.

What is an incident and how do I report one?

Incidents are issues that occur on site (safety hazards, quality problems, delays). Create one in the Incidents section with severity level, description, and photos or videos. Each incident gets a sequential number per project (#1, #2, ...) so the team can refer to a ticket unambiguously. You can also pin the incident on a floor plan at the exact spot.

How do incidents progress through the workflow?

Incidents move through statuses: Open, Assigned, In Progress, Resolved, Verified, and Closed. Each status change is tracked with timestamps and responsible parties for a complete audit trail.

Who can an incident be assigned to?

An incident can be assigned to a member of your own team or to an external company (a subcontractor). The assignee is notified, and the assignment can be changed at any time as responsibility moves.

Can I print or share an incident report?

Yes. Download a PDF report from a single incident, from the project incidents list, or for a selection of tickets. The detailed report includes per-ticket cards with description, evidence photos, and the floor-plan pin drawn on the plan, grouped by open, resolved, and closed.

What are warranty claims and how do they work?

Warranty claims track post-completion issues within the warranty period. The workflow includes: submission, inspection, review, decision, repair scheduling, completion, and client signature.

How do clients report issues after project completion?

Clients use the mobile app to submit issues with photos and descriptions. You can review and either accept (convert to a Warranty Claim), reject with an explanation, or request more information.

How do I schedule and track warranty repairs?

Once a warranty claim is approved, set the status to Scheduled and assign a contractor with planned dates. Update to In Progress during work, then Completed when finished with photos and costs. Warranty claims track cost responsibility (warranty, client, contractor, shared, or insurance).

What is the Site Diary?

The Site Diary is the official daily log of the construction site. It records weather, workers present, work done with photos, observations, equipment, and the day's incidents. Once locked it serves as a formal record, and locking the day also clocks out anyone still punched in.

Can the diary be created automatically?

Yes, your team can opt in to automatic daily drafts: at a configured local hour Tabiquo creates the day's diary entry as a draft with what it already knows, and the site team completes and locks it. Drafts are never locked automatically.

How do I create a work report?
  1. Go to Work Reports and click New Report.
  2. Select the date.
  3. Add the activities completed, photos, and notes.

From the mobile app you can generate a draft that imports the team's clocked hours for the date, with a preview of what will be imported before confirming. Each worker's clock-in note is carried into their line.

How are work reports approved?

A confirmed work report can be approved by the roles your team settings allow, and a setting decides whether the foreman may approve. Nobody can approve their own report. The approval (and its revocation) is recorded with who and when.

How do I create a Site Minute?

Site Minutes document formal meetings and milestone decisions. Create one from the Site Minutes section, choose the type (meeting, site visit, handover, and more), add attendees, discussion points, and decisions made. Minutes can then be locked and signed.

What's the difference between Site Diary, Site Minutes, and Work Reports?

Site Diary is the official daily log with legal value (weather, workers, incidents). Site Minutes record formal meetings with attendees and decisions. Work Reports track daily hours and progress for internal management.

Can I fill in site documentation by voice?

Yes, in the mobile app you can dictate a site diary entry, a minute, or a site visit: speak naturally and the AI fills the form fields from what you said, matching worker names against the project roster. Review the result before saving.

How do I export work reports or time entries?
  1. Click Export in the Work Reports or Time Entries section.
  2. Choose the format, Excel or CSV.
  3. Select the date range and filters, and download.

Exports include all details, photos, and GPS coordinates.

Signatures & Document Seals 6
How does digital document signing work?

Documents requiring signatures (site diaries, minutes, warranty claims, certifications) are signed through secure links. The signer opens the link on any device, sees the full document in their own language, and draws their signature. Signing links expire after 7 days or once used.

Can someone sign without a Tabiquo account?

Yes, that is the point of signing links: external professionals (works director, safety coordinator) and clients sign from the link alone, with no registration. From the mobile app you can share the link directly or show it as a QR code to be scanned on site.

Can several external parties sign the same minute?

Yes. On a site minute you add each external signer with their name and role; every signer gets their own personal link, which you can email, share, or show as a QR code. The minute tracks who has signed and who is still pending, and individual links can be regenerated or removed.

What is a document seal?

When a site diary entry or minute is closed, Tabiquo seals it: a cryptographic fingerprint of the document is stored and a sealed PDF is produced. From then on the sealed PDF itself is what gets served, and the fingerprint can be checked at any time to demonstrate the document has not been altered since sealing.

What is signature evidence?

Every external signature records the context it was given in: which document version was signed (its fingerprint), through which channel the link was delivered, and in what role the person signed. This evidence is shown alongside the signature so the record stands on its own.

Which documents can clients sign?

Clients sign estimates and extras (acceptance with signature in the mobile app), certifications, warranty claims on completion, and site documentation when involved. Client-facing signature pages are presented in the client's language.

Alerts & Notifications 6
What types of alerts does Tabiquo generate automatically?

Tabiquo generates 15+ alert types including document expiry, critical incidents, time entry anomalies, material shortages, warranty claims, budget overruns, missing clock-outs, expiring site-worker documents, non-compliant site check-ins, and inspection failures.

How do I view and manage my alerts?

View alerts in the Unread Alerts dashboard widget or go to the Alerts section. Click an alert to view details and mark it as read. You can also dismiss or delete old alerts.

What are alert severity levels?

Alerts have three severity levels: Info (general notifications), Warning (attention needed), and Critical (urgent action required). Critical alerts trigger email notifications and appear prominently on the dashboard.

Can I dismiss or archive old alerts?

Yes, click Dismiss on any alert to remove it from your active list. The system also automatically cleans up dismissed alerts older than 30 days to keep your alerts relevant.

How do document expiry alerts work?

The system scans documents daily and creates alerts at 30 days, 7 days, and on the expiry date. Critical documents (permits, insurance) trigger email notifications to responsible team members. Site-worker safety documents are scanned too, so an expiring medical certificate is flagged before it blocks site access.

Do other team members see my alerts?

Alerts can be user-specific or team-wide. Personal alerts (your time entry issues) are only visible to you. Team-wide alerts (critical incidents, document expiry) are visible to all relevant team members.

The project

Projects 8
How do I create a new project?

Go to the Projects list and click New Project. A full-page form will open where you fill in: client, project name, project type, project manager, status, color, address, city, postal code, start/end dates, invoicing mode, and internal notes. You can also assign team members during creation using the multi-select field. The project will be created in Planning status by default.

How do I assign team members to a project?

There are two ways: (1) From the Team page in the Global View, click the three-dot menu on any team member and select Assign to Projects to assign them to multiple projects at once. (2) From inside a project, open the Team page in the project sidebar and click Assign User to add team members. The same page lets you edit each person's project-specific role or remove them from the project.

What are the different project statuses?

Projects can have four statuses: Planning (initial setup and preparation), In Progress (active work), Completed (finished), and Archived (long-term storage). New projects default to Planning status. Change the status from the project edit page. Archived projects do not count towards your plan's project allowance.

How do I invite a client to view their project?

Open the Team page in the project sidebar. In the client section you can send an invitation email to the client. They receive an email, choose a password, and can then follow the project from the Tabiquo mobile app. You can also invite the client while creating the project in the setup wizard.

What is the difference between project scope and company scope?

Project scope shows data specific to one project (time entries, documents for that project). Company scope shows team-wide data like all staff members, suppliers, and global settings.

What is the project setup checklist?

The project Summary shows a setup checklist widget for new projects. It tracks the recommended first steps (adding team members, uploading documents, creating a planning, and so on) and links directly to each one, so you can see at a glance what is still missing.

Can I assign different roles to team members on different projects?

Yes, each team member has a default role, but you can override it per project. Open the Team page in the project sidebar, find the user, and use the edit action to change their project-specific role. You can also set role expiration dates for temporary assignments.

How do I set the site coordinates of a project?
  1. Edit the project and open the Location section.
  2. Type latitude and longitude directly, or click Find coordinates from address to look them up from the project address.
  3. Save the project.

Site coordinates are what GPS clock-ins are measured against, so setting them accurately is important if you use the geofence. From the mobile app you can also capture the coordinates while standing on site.

Dwelling Units & Variants 5
What are dwelling units?

Units represent the individual apartments or premises inside a development project, identified by level, staircase, and number. Each unit can have its own rooms, floor plan pins, incidents, and change requests. The Units page appears in the project sidebar when units are enabled for the project.

How do I enable units for a project?

Units are enabled per project. Edit the project and turn on the units option; the Units page and the units summary widget then appear for that project. Projects without units simply work at the project level, which is the right fit for single-dwelling renovations.

How do I create many units at once?

Open the Units page and use the bulk generator. You specify the floors, staircases, and number of units per floor, together with a numbering scheme, and Tabiquo creates the whole grid in one step. Unit codes are composed automatically from level, staircase, and number, and you can still edit any single unit afterwards.

What are unit variants?

A variant is a change requested by the buyer of a unit (for example a different flooring or an extra socket), optionally tied to a specific room, with its own cost. Variants follow a workflow: Requested, then Approved (or Rejected), then Applied once the change has been executed on site. Each step is timestamped so you can document exactly when a change was agreed.

Who can approve a unit variant?

Variants are reviewed and approved from the admin panel by your project team. Record the agreed cost on the variant before approving it, so the financial impact of buyer changes stays documented per unit.

Planning & Scheduling 6
How do I create a project schedule?
  1. Go to the project's Planning section.
  2. Add work phases and activities.
  3. Assign dates to each.

Use the Gantt view or calendar view to visualize the schedule.

How do I assign workers to activities?

Open a planning item and use the Assignments section to add workers or subcontractor companies. You can assign multiple people to the same item and specify the dates they should work on that activity.

How do I track planning progress?

The planning overview shows completion percentages for each phase. Activities are automatically marked as complete when all assigned time entries are logged.

What is the difference between work phases and activities?

Work Phases are high-level project stages (Foundation, Structure, Finishing). Activities are specific tasks within phases (Pour Foundation, Install Columns). Both are used for planning and budget organization.

How do I see what work is planned for today or this week?

The dashboard Today Overview widget shows today's planned activities. For the weekly view, go to Planning and switch to the Weekly Calendar view to see all scheduled work.

Can I reuse planning templates across projects?

Yes, you can copy planning from a completed project when creating a new one. Global Work Phases and Activities can also be reused as templates across multiple projects.

Tasks 5
How do I create and assign a task?
  1. Go to Tasks, globally or inside a project.
  2. Click New Task.
  3. Set the title, description, due date, priority, and assignees.

Assignees are notified when the task is assigned to them, both in the panel and with a push notification on the mobile app.

What is completion proof on a task?

A task can require proof before it can be completed: a photo, a note, a signature, or a combination. The requirement is enforced everywhere, so a task that demands a photo cannot be ticked off without one, neither from the board nor from the mobile app. The collected proof stays attached to the task.

Can tasks repeat automatically?

Yes, tasks support recurring schedules (daily, weekly, monthly). Tabiquo generates the next occurrence automatically, so routine site checks and administrative chores never need to be recreated by hand.

Where do I see what is due soon?

The dashboard shows tasks due today, tasks due in the coming week, and overdue tasks. The Tasks list can be filtered by status, assignee, priority, and project.

How do workers complete tasks from their phone?

Workers see every task assigned to them in the mobile app's Tasks tab, across all their projects. They open the task, provide the required proof (photo, note, or signature), and mark it complete. The completion, its time, and its evidence are then visible in the admin panel.

Floor Plans & Incident Pins 5
Where do I manage floor plans?

Open Floor Plans in the project sidebar. Plans are grouped into folders by level (basement, ground floor, first floor, and so on) and can be reordered. The viewer lets you zoom and pan like a map.

What file formats can a floor plan be?

Plans displayed in the viewer must be PDF files. CAD originals (DWG, DXF) can be stored alongside them so the team always has the source file, but they are download-only; there is no in-browser CAD viewer.

How do I pin an incident on a floor plan?

Open the plan in the viewer and activate pin mode, then click the exact spot on the drawing. A form opens to create the incident, and the pin is saved with it, colored by severity. Existing incidents with pins show up on the plan; click a pin to open its incident.

Can I get a report of the incidents on a plan?

Yes. The incident PDF report can include a detailed card per ticket with its description, evidence photos, and the floor-plan pin drawn over the plan preview. Generate it from a single incident, from the project incidents list, or for a selection of tickets.

Who can see floor plans?

Floor plans are available to the whole project team in the mobile app, including the pins, and to clients depending on their access. Uploading new plans and managing them is reserved for the office and site management.

Documents & Files 8
How do I upload documents to a project?

Navigate to the project's Documents section and click Upload. You can drag and drop files or browse to select them. Choose the appropriate document category for better organization.

What file types are supported?

Tabiquo supports most common file types including PDF, images (JPG, PNG), Office documents (DOC, DOCX, XLS, XLSX), and videos up to 50 MB. CAD files (DWG, DXF) can be stored and downloaded, but only PDF files can be previewed in the browser; there is no in-browser CAD viewer.

How do I control who can see specific documents?

Visibility works on two levels. Each document category has visible to client and visible to worker switches that decide who sees its files by default, and each individual document can additionally carry the Admin Only flag or a permission key for stricter control.

How do I share documents with clients?

Put the file in a document category marked as visible to clients and make sure it does not carry the Admin Only flag. Clients with project access then see it in the mobile app. You can also use the client whitelist feature to share specific documents with selected clients only.

What happens when a document expires?

Expiring documents trigger automatic alerts at 30, 7, and 0 days before expiration. Critical documents appear on the dashboard, and email notifications are sent to responsible team members.

How do I organize documents by category?

Manage your categories under Document Categories in the settings area of the admin panel. Each category has a name, a color, and visibility switches for clients and workers. Assign a category when uploading files for automatic organization.

Can I track different versions of the same document?

Yes. Open the Documents list, find the file, and use the Upload new version action to replace it with a newer file. Previous versions stay archived and accessible through the document history, so nothing is lost.

Can I upload videos?

Yes, videos up to 50 MB are supported in the gallery, on incidents, and on inspections. They are shown with a thumbnail, a play badge, and their duration, and can be played back directly in the mobile app.

How do I navigate the admin panel?

The admin panel has a sidebar on the left with all main sections. Use the project switcher dropdown in the sidebar to switch between projects. When no project is selected, you see the Global View with team-wide resources like Team, Clients, and Settings. When a project is selected, the sidebar shows project-specific sections such as Planning, Documents, Time Entries, and Site presence.

How do I change my profile settings?

Click on your avatar in the top-right corner and select Profile. Here you can update your name, email, password, notification preferences, and set up two-factor authentication.

How do I switch between projects?

Use the project switcher dropdown in the left sidebar. Click on it to see all your assigned projects, use the search field to filter, and select the one you want to work on. You can also navigate to the Projects list and click on any project directly.

What are the different login methods available?

On the web admin panel you log in with your email and password, or with the Sign in with Google button if your Tabiquo account uses a Google address. On the mobile app you can use either your email or your phone number together with your password. New users receive an invitation link to set their password.

What happens the first time I log in with a new team?

A guided setup wizard walks you through the essentials in three steps: your company details, your first project, and your team members. It creates real records as you go, so when you finish you already have a working project. You can leave the wizard at any time and complete the remaining steps later; a dismissible what's next reminder on the dashboard keeps track of what is left.

What is the dashboard and how do I use it?

The dashboard provides a quick overview of your work with widgets showing today's activities, tasks due soon, expiring documents, unread alerts, and project progress. It updates as work progresses.

How do I get help if I'm stuck?

Search here first: the search understands synonyms and ignores accents. If the answer is not here, write to us from the Talk to us block on this page: the email arrives pre-filled with your team and the screen you were on, and WhatsApp is there too if you prefer it. We reply during working hours, usually within 24 hours.

Trial period 4
What happens when the trial period ends?

The yellow ribbon in the top bar tells you how many days are left. On the day it expires, logging in shows a page to choose a plan instead of the panel; nothing else changes. Pick a plan and we activate it the same day, no card needed: we send you an invoice.

Is my data deleted when the trial ends?

No. Projects, documents, time entries and everything you created are kept. When you activate a plan you continue exactly where you left off. Only the demonstration environments Tabiquo creates to show the product are removed, and those contain no data of yours.

How do I subscribe to a plan when the trial ends?

Write to us from the contact block on this page or from the trial-expired page, saying which plan you want. There is no self-service checkout: we activate the plan on your team and send the invoice. You can do it before the trial ends so you never notice a cut.

Can I extend the trial period?

Yes. If you need more time to test with a real project, ask us. We extend the deadline from our side and you will see the new date in the top-bar ribbon.

How do I set up a new team?

On your first login, the guided setup wizard takes you through company details, your first project, and your team members, creating real records as you go. Afterwards, fine-tune Team Settings for time tracking, documentation, and procurement, and add more members from the Team page.

What settings should I configure when starting?

Start with Team Settings: enable/disable GPS tracking, set documentation requirements, configure approval workflows, set up Document Categories, and define Work Phases/Activities as templates for projects.

How do I onboard new team members?
  1. Go to the Team page and click Add Member.
  2. Enter their name, role, and contact details. With an email, an invitation is sent automatically; without one, Tabiquo generates credentials you can share over WhatsApp and the worker changes the password on first login.
  3. Assign them to the relevant projects with the right project role, and walk them through the mobile app.

For bulk onboarding, use Import from Excel.

Can I create a team hierarchy?

Yes, using project roles and permissions. Set up General Managers with full access, Site Managers for project oversight, Foremen for daily operations, and Workers for field work. Roles can be different per project.

What is the difference between account users and workers?

Account users have login credentials and can access the admin panel based on their role. Workers may or may not have accounts - they can clock in via shared devices or their own accounts on mobile. Only account users count towards your plan's internal user seats.

How do I manage team holidays and time off?

Define company-wide holidays (with optional yearly recurrence) in the team settings area. Use Leave Requests for individual worker absences with an approval workflow; approved leave is visible when planning and when clocking in crews.

What is the difference between system roles and project roles?

System roles (Admin, Manager, Worker, etc.) control admin panel access. Project roles (Site Manager, Foreman, etc.) define business functions and determine what users can do within projects.

How do project-specific permissions work?

Each project role has specific permissions (e.g., planning.view, time.validate). Users inherit these permissions on projects where they are assigned, enabling fine-grained access control.

Can project roles expire automatically?

Yes, when assigning a user to a project, you can set a role expiration date. After this date, the user will revert to their default role for that project.

How do I invite new team members?

Go to the Team page (under Global View in the sidebar) and click Add Member to create a new team member. Fill in their details and role. If they have an email, an invitation is automatically sent when creating the member. You can also use the three-dot menu on any existing staff member to Send Invitation, Resend Invitation, or Copy Invitation Link to share via WhatsApp or other channels. For bulk onboarding, use the Import from Excel button to add multiple team members at once.

How do I onboard a worker who has no email address?

Create the staff member without an email. Tabiquo generates login credentials for them, and you can share those credentials directly over WhatsApp with the dedicated share action on the staff member. When they first log in to the mobile app, they are prompted to change the generated password.

What can each project role do?

General Managers have full access. Site Managers handle planning and budgets. Foremen manage daily work and time tracking. Workers can clock in/out and submit requests. Check the role description for specific permissions.

How do I reset a user's password?
  1. Go to the Team page and find the user.
  2. Click the three-dot menu and select Change Password (or Set Password if they don't have one yet).
  3. Enter the new password in the modal that opens.

Share the new password with the user securely, for example with the WhatsApp share action.

Where do I configure team-wide settings?

Go to Settings in the sidebar (visible in Global View when no project is selected). Here you can configure defaults for time tracking, documentation requirements, procurement workflows, and the mobile app experience.

Can I override team settings for a specific project?

Yes, each project can have its own settings that override team defaults. Open the project's Project Settings page to customize behaviors for that project. Settings cascade: project overrides team, which overrides system defaults.

How do I manage user roles and permissions?

Go to the Team page (under Global View in the sidebar) to manage team members and their system roles (Admin, Manager, Member, Worker). Project-specific roles are managed from each project's Team page in the project sidebar.

Which approval workflows can I configure?

Team settings control who may validate time entries (and whether the foreman can), who may approve work reports (self-approval is always blocked), and who may approve material requests. Configure them once and they apply across your projects.

Where do I configure GPS and geofence rules?

In Team Settings > Time Tracking: require GPS on clock-ins, set the allowed radius around the site, and register additional recognized locations such as a warehouse. The site position itself is set on each project (a Find coordinates from address action helps), and clock-ins are measured against the nearest recognized site.

How do I connect my Google Calendar?

Go to your profile settings and click Connect Google Calendar. Authorize access and select which calendar to sync. Appointments will be synced automatically.

How do I enable two-factor authentication?
  1. Open your Profile from the avatar menu in the top-right corner and find the two-factor authentication section.
  2. Scan the QR code with an authenticator app (Google Authenticator, 1Password, Authy, and similar).
  3. Confirm with the six-digit code the app shows.

From then on, logging in to the admin panel asks for a code from your authenticator in addition to your password.

What are recovery codes and where do I keep them?

When you enable two-factor authentication, Tabiquo gives you a set of one-time recovery codes. Each code can be used once instead of an authenticator code. Store them somewhere safe outside your phone (a password manager or a printed copy), because they are what gets you back in if you lose your device.

I lost my phone and can't generate codes. What now?

Log in with one of your recovery codes instead of the authenticator code. Once inside, go to your Profile to remove the old authenticator and set up a new one. If you have also lost your recovery codes, contact your team administrator or Tabiquo support.

Does two-factor authentication also apply to Google sign-in?

Yes. If your account has two-factor authentication enabled, you are asked for a code after signing in with Google as well. Note that Google sign-in only works for existing Tabiquo accounts whose email matches the Google address; it is not a way to create a new account.

What does the "Today Overview" widget show?

This widget displays today's planned activities, active time entries, and scheduled appointments. It gives you a quick snapshot of what's happening right now across your projects.

How does the "Expiring Documents" widget help me?

It shows documents that are expiring soon or have already expired (permits, certificates, insurance). Documents are highlighted with color coding: red for expired, amber for expiring within 7 days.

What is the "Unread Alerts" widget for?

It displays system alerts that require your attention: critical incidents, material shortages, time entry anomalies, and warranty claims. Click an alert to view details and mark it as read.

Can I see planning for the whole week?

Yes, the dashboard includes a weekly planning view showing scheduled activities and worker assignments for the next 7 days. You can expand it to see more details.

Which tasks appear on the dashboard?

The dashboard shows tasks due today, tasks due in the coming week, and overdue tasks, so nothing slips just because its date has passed. Click a task to open it directly.

How do I customize my dashboard?

Dashboard widgets are automatically configured based on your role and permissions. Managers see financial and planning widgets, while workers see time tracking and task widgets.

How do I create an estimate for a project?
  1. Go to the project's Estimates section.
  2. Click New Estimate.
  3. Add line items with description, quantity, and price.

You can organize items by chapters or categories.

How do I send an estimate to a client?

Open the estimate and click Send to Client. The client will receive an email with a link to view and accept the estimate. Clients can also review, sign, and accept estimates directly in the mobile app; acceptance is reserved for the client company's owner.

How do I create certifications (progress billing)?

Use the Certifications section to create interim payment certificates. Select completed work from the estimate and generate a certification for client approval.

How do I track payments?

The Payments section shows all invoices and their payment status. Record payments when received to keep track of outstanding amounts.

What are Extras and when do I use them?

Extras are contract modifications after the original estimate is accepted. Use them to add new work or deduct items. They preserve the baseline estimate while tracking changes separately. Clients can approve and sign extras from the mobile app.

How do I set a baseline budget for cost control?

Once an estimate is accepted, mark it as the baseline. Tabiquo automatically creates a Cost Baseline Version for variance tracking. Compare actual costs against the baseline to monitor budget performance.

What are Commitments and why are they important?

Commitments track contracted costs before invoices arrive (subcontracts, purchase orders, service contracts). They help you forecast cash flow and ensure actual spending doesn't exceed budget.

How do I request quotes from external contractors?
  1. Create a Commitment.
  2. Click Request Quote to generate an external upload link.
  3. Send that link to the contractor: they can upload their quote directly, without registering.

You'll be notified when quotes arrive.

What is the Finance Dashboard?

The Finance Dashboard provides real-time overview of project financials: revenue vs. costs, budget consumption, outstanding payments, and profitability metrics. It uses Finance Rollups for fast performance.

How do I record an invoice or payment?

Go to Finance Documents to record invoices, credit notes, and other accounting documents. Then use Payments to record money movements and allocate them to specific invoices.

What are Finance Rollups?

Finance Rollups are pre-calculated monthly summaries of income, costs, and margins per project. They update automatically and power the dashboards and reports for fast performance.

How do I track project profitability?

The Finance Dashboard shows revenue from estimates and certifications versus actual costs from finance documents and commitments. The margin percentage and variance from baseline show profitability at a glance.

How do I create a material request?

Workers can create material requests from the mobile app or admin panel. Specify the materials needed, quantity, and urgency. The request goes to managers for approval.

Who can approve material requests?

Your team settings decide which roles may approve material requests. Users with approval rights see the approve and reject actions on pending requests, both in the admin panel and in the mobile app; everyone else can only follow the request's status.

How do I create a purchase order?
  1. From approved material requests, click Create Purchase Order.
  2. Select a supplier and add the items.
  3. Send the purchase order.

Then track the delivery status as items arrive.

How do I track deliveries?

The Deliveries section shows all incoming materials. Update status as items are picked up, in transit, or delivered. Workers can confirm receipt on site.

How do suppliers submit quotes for purchase orders?

When sending a PO, enable Include upload link to generate a secure link for the supplier. They can upload quotes directly without needing an account. You'll receive a notification when files are uploaded.

What is the difference between a purchase order and a commitment?

Purchase Orders track material purchases from suppliers. Commitments track contracted costs like subcontracts, service agreements, and rental contracts before invoices arrive. Both affect budget tracking.

How do I compare quotes from multiple suppliers?

Create a Commitment and generate external upload links for each supplier. They can submit quotes independently. View and compare all quotes side-by-side in the Commitment's quotes section.

Can I track partial deliveries?

Yes, deliveries support multi-stop tracking. Update the status as each batch is picked up, in transit, or delivered. Link delivery items back to purchase order lines for complete traceability.

What is Quick Purchase in the mobile app?

Quick Purchase records a spontaneous purchase made on the spot, like a run to the hardware store. Photograph the receipt and use Scan with AI to autofill the supplier, items, total, and date; correct anything that needs it and save. The expense lands in the project's records without paperwork.

Materials catalogue 6
What is the materials catalogue?

The Materials catalogue in the Global View holds your company-wide products: tiles, sanitary ware, fixtures, finishes. Each entry can carry a photo, brand, model, and design details, so the products you work with are documented once and reused across projects.

What is the project Material List?

The Material List page inside a project is the selection of catalogue products placed in that project's rooms: which floor tile goes in which bathroom, which taps in the kitchen. It is the single reference for what has been chosen where.

Can Tabiquo fill in a catalogue product from a web page?

Yes. When creating a catalogue entry, paste the product's URL and the AI import pre-fills the name, brand, description, image, and other fields from the product page. Review the result and save.

How do I organize the material list by rooms?

On the project's Material List page, add materials from the catalogue into each room of the project and order them as you like. The same catalogue product can appear in several rooms.

Can I export the material list as a PDF?

Yes, the project material list can be exported as a PDF with product cards and images, ready to hand to the client or the site team.

Can clients see the material list and its prices?

Clients can see the material list of their project in the mobile app if the module is enabled for your team. Whether prices are shown to the client is controlled by a visibility setting, so you decide if they see products only or products with prices.

Plans & Subscription 5
What plans does Tabiquo offer?

There are four plans: Esencial, Estudio, Business and Enterprise. The first three have published allowances for active projects, internal users and included workers (see the pricing page for current numbers). Enterprise is tailor-made: its limits and pricing are agreed per contract.

How are workers counted for billing?

Workers are a monthly measure, not a hard cap: an active worker is a person who clocked in or appeared on a work report during that month. Nothing ever blocks a clock-in for plan reasons; if you exceed the workers included in your plan, the difference is simply invoiced. Deactivated staff stop counting.

What happens when I reach my project limit?

The plan limits the number of active (non-archived) projects. When you hit the limit, Tabiquo tells you why a new project cannot be created. Archiving a finished project frees a slot immediately: archived projects are unlimited and keep all their data.

Is storage limited?

Storage usage is measured per team, and your plan includes a storage allowance. If your team approaches its allowance you will be informed; contact Tabiquo to expand it or to move to a larger plan.

How do I change my plan?

Contact Tabiquo to upgrade or adjust your plan. There is no self-service billing page; changes are applied to your team by the platform administrators.

How do supplier upload links work?

When sending a Purchase Order, enable Include upload link to generate a secure token-based URL. Suppliers can upload quotes and invoices directly without creating an account. Links expire after 30 days.

What are external upload links for commitments?

External upload links allow third parties (subcontractors, suppliers) to submit quotes for Commitments. Generate links from the Commitment page or table, share with contractors, and receive quotes directly in the system.

How do I know when a supplier uploads files?

You receive an automatic email notification when files are uploaded via supplier or external links. The uploaded files are immediately attached to the Purchase Order or Commitment.

Can I regenerate an upload link if it expires?

Yes, open the Purchase Order or Commitment and use the Regenerate Link action. This creates a new token and invalidates the old link. Copy and share the new link with the supplier.

What file types can suppliers upload?

Suppliers can upload common file types including PDF, images (JPG, PNG), and Office documents (DOC, DOCX, XLS, XLSX). The upload page validates file types and size limits.
